Description
Greeting Visitors: Welcoming visitors and guests as they arrive, making them feel comfortable and addressing their needs.
Answering Phones: Managing incoming phone calls, directing them to the appropriate person or department, and taking messages when necessary.
Managing Appointments: Scheduling and confirming appointments for clients, visitors, and staff.
Handling Inquiries: Responding to inquiries about the organization, its services, and its policies, both in person and over the phone.
Administrative Support: Providing general administrative support, such as typing, filing, and copying documents.
Mail Management: Receiving, sorting, and distributing mail and packages.
Maintaining Records: Keeping accurate records of visitor logs, phone calls, and messages.
Office Supplies: Monitoring and ordering office supplies to ensure that the reception area is well-stocked.
Security: Ensuring that the reception area is secure and following any security procedures, such as issuing visitor badges.
Communication: Relaying information and messages to relevant staff members promptly and accurately.
Customer Service: Providing excellent customer service, addressing visitor or client issues, and resolving complaints or directing them to the appropriate person.
Maintaining Reception Area: Ensuring the reception area is clean, tidy, and presentable at all times.
Data Entry: Inputting data into computer systems accurately and efficiently.
Coordination: Coordinating with other departments to ensure smooth operation and communication.
Event Support: Assisting with the organization and coordination of meetings, events, and conferences.
Requirements
Requirements
Proven work experience as a Receptionist, Front Office Representative or similar role
Proficiency in Microsoft Office Suite
Hands-on experience with office equipment (e.g. fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
High school degree; additional certification in Office Management is a plus
